Privacy Policy – Sync

1. Who we are

Sync is a service that answers phone calls on behalf of businesses using artificial intelligence, summarizes them and books appointments. The service is operated by Sagi Levi ("Sync", "we"). This policy explains what information we collect, what we do with it and how we protect it.

2. What information we collect

  • From the business owner: name, phone number, business details (name, field, hours, price list and anything entered for the agent), and a WhatsApp number for updates. We don't store credit card details. They go directly to the payment processor.
  • From calls: the caller's phone number, the name they gave, a transcript and record of the call, a summary, and appointments that were booked.
  • From Google Calendar (only if the business owner connected it): see section 4.
  • From use of the website and the app: basic technical information, such as login times and device type, for operation and security.

3. Why we use the information

Only to run the service: to answer calls on behalf of the business, send the business owner summaries and updates, book and manage appointments, collect payment, provide support, and keep the system secure.

We don't sell information, don't use it for advertising, and don't pass it to anyone who doesn't need it to provide the service.

4. Google Calendar

If the business owner chose to connect their Google Calendar, Sync gets access only to what is needed for syncing:

  • The list of calendars, so the business owner can choose which calendar to sync.
  • The events in the selected calendars (time, event title, and details that Sync itself added), so the agent does not book an appointment over a busy time, and so changes are updated on both sides.

Information from Google is used only to sync the calendar. It is not used for advertising, not sold, not passed to others, and not used to train artificial intelligence models. The voice agent only knows whether a time is free or busy, not the details of personal events. No one on the Sync team reads the information, unless the business owner asked for it in a support request, or it is required by law or for security.

You can disconnect Google at any moment, from the app or from your Google account settings. On disconnecting, the permission is deleted on our side.

Sync's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

5. Artificial intelligence: what passes through it

Sync uses artificial intelligence services to hear the caller, understand them, answer them and summarize the call. Therefore:

  • The voice during the call goes to an AI service that understands and answers in real time.
  • The transcript goes to an AI service that writes the summary for the business owner.
  • The knowledge the business owner entered (hours, services, prices) is used as instructions for the agent.

From Google Calendar, the agent receives only the answer "free" or "busy", not the details of events.

We work with AI providers that commit not to use this information to train their models.

6. Who we share with

We don't sell information, to anyone. We pass information only to providers that help us provide the service, and only what they need:

  • Storage and servers
  • Voice and artificial intelligence services
  • The telephony provider (numbers and calls)
  • WhatsApp and SMS (for sending updates and reminders)
  • The payment processor (for payments)

In addition, we will pass on information if the law requires it, or if the service moves to other ownership. In that case, this policy will continue to apply.

7. Where information is stored and how it is secured

Information is stored on secure cloud servers of providers that meet accepted information security standards. Some of the servers are located outside Israel.

Information is encrypted in transit and at rest. Google Calendar permissions are stored in a separate encrypted vault. Only those who need access to run the service get it.

8. How long we keep information

  • As long as the account is active: calls, summaries and appointments are kept so the business owner can go back to them.
  • After an account is closed: all information is deleted within 30 days, except what the law requires us to keep (for example invoices, under tax law).
  • Disconnecting Google Calendar: the permission is deleted immediately, and the Google events stored on our side are deleted too.

9. Your rights

  • To see what information is stored about you.
  • To correct wrong information.
  • To delete information or close the account.
  • To disconnect Google Calendar at any moment.

Most things you can do yourself in the app: editing the business and agent details, deleting files, disconnecting Google. For any other request, write to us and we will reply within 30 days.

10. People who call the business

When someone calls a business that uses Sync, Sync answers on behalf of the business and for it. The business decides what is kept and what is done with the information, and Sync only processes it for the business.

At the start of every call, the agent announces that the call is documented.

A caller who wants to know what is stored about them, or to request deletion, can contact the business itself or us, and we will pass the request to the business.

The business owner is responsible for making sure their use of the service complies with the law toward their customers.

11. A few more things

  • The service is intended for businesses and business owners aged 18 and over.
  • Cookies: the website and the app use only what is needed to log in and run the service. There is no advertising tracking.
  • Changes: when we update the policy, the date below will change. We will notify business owners on WhatsApp of any significant change.
